Give each product its own line
Start with the manufacturer, exact product name and REF or catalogue number. Put different generations, pack sizes and variants on separate lines. A familiar short name alone may not identify the item.
Make quantities unambiguous
Write both the number of packs and the unit: kits, boxes, bottles or individual pieces. If a box contains several items, include the required pack size rather than assuming it.
Add the destination and timing
State the country and city, your required timing and any conditions that need to be discussed. Delivery arrangements and lead time are confirmed in the offer, not inferred from a website image.
Check the offer against your list
Before ordering, compare each REF, quantity, unit, product version and delivery term with the confirmed offer. Keep the agreed version of your list for follow-up.
